A guide for project leaders on what to do after approval — from setting up your layout to seeing your project through to completion.

Running Your Project

Getting approved is the beginning, not the end. This guide covers what happens after your project is approved: how to set up, how to manage your build, and how to see it through to completion.

Getting Started After Approval

Once your project is approved, the first step is establishing the physical foundation that builders will work from.

Layout

Start by placing your layout in the world. A layout defines the shape and scope of your project — where buildings sit, how roads run, where terrain needs work. It gives contributors a clear picture of what the finished project will look like and where they can help.

Plot Boundaries and Terraforming Notes

After the broad layout, define your plot boundaries. Mark areas where terraforming is needed before building can begin. Project leaders have access to basic terraforming tools for smaller adjustments, but if your project requires significant terrain work, submit a request through the Terraform team (see Terraform).

Warps

Most projects already have a warp point. You can set additional warps to help builders navigate during setup — this is common for large projects where specific areas need attention. Once the project is fully underway, warps can be refined.

Signboard

At your main warp, set up a signboard with the following information:

  • Name — the project name
  • Leader — your name
  • Region — the region this project belongs to
  • How to Contribute — a brief note on how builders can get involved (claim a plot, apply for a Mini Build, contact you directly, etc.)

You can expand the signboard with additional context — style notes, progress updates, links to relevant guides — but the four fields above are the standard minimum.

Opening Plots

You decide when and how plots become available to builders. Two approaches are common:

  • Open all at once — release all plots when the layout is ready. Works well for smaller projects or when you want to build momentum quickly.
  • Open in phases — release plots district by district or area by area as each section is ready. Better for large projects where opening everything at once would be unmanageable.

Plots default to OPEN (any Builder can claim them) unless you mark them as SPECIAL. Special plots require builders to apply — use this for structures that need closer oversight, more complex planning, or specialized skills, like keeps, septs, unique landmarks, or large buildings critical to the layout.

Your Role During Construction

As project leader, you are responsible for the quality and coherence of your project. That means:

  • Reviewing work — check plots, Mini Builds, and Special plots as they are built. You are the first line of quality review before the Warden sees the finished project.
  • Collaborating with builders — work with contributors to get the outcome you want. Give feedback, answer questions, and help them understand the project vision. The goal is collaboration, not just approval or rejection.
  • Keeping things moving — stay active and engaged. There are no hard deadlines, but steady progress is expected. If you need to step away, communicate with your Warden.

Working With Your Warden

Your Warden is your primary point of contact for regional guidance and final approval. Check-ins happen as needed — there is no fixed schedule, but frequent communication is encouraged so everyone stays on the same page.

Check-ins typically happen in your project application thread on Discord, though Wardens may also visit in-game. You can initiate a check-in any time you want feedback, hit a question about regional style, or want a progress review. Your Warden can also reach out if they notice something that needs attention.

If progress stalls or goes quiet for an extended period, your Warden or an admin may reach out. In cases where a project is abandoned, the Warden or admin decides whether to open it for fostering.

Completing Your Project

When you believe your project is finished, post in your project application thread on Discord and ping your Warden (and a second Warden if your project type requires two approvals — see Project Types).

Your Warden will:

  1. Walk through the completed project in-game
  2. Check that major elements from your application were implemented
  3. Provide feedback on anything that needs refinement
  4. Post their approval in the thread once satisfied

Most projects pass with minor feedback. After Warden approval, your project thread is marked Complete in Discord, and an admin updates the status on the Projects page.
